Meeting Minutes – August 20, 2003

Call to Order – 7:09 p.m.

Introductions were skipped due to the absence of new members and visitors.  Members in attendance included: John A., Claude V., Ward B., Jeff M., Jeni L., Tim W., Scott S., Danny K., Lewis S., Jim W., Jim H., and Herb T.

Minutes of the July 16, 2003 meeting were presented, reviewed, and unanimously approved.

The Treasurer’s Report was presented by Jeff M.  Year-to-date income was noted along with year-to-date expenses.  No problems or concerns were raised regarding financials.  A donation from the Wimberley VFW was noted as well as donations from the “Keep ‘Em Rolling” art and vehicle exhibit.  Membership numbers were reported at 61 with all but 12 also holding national membership.  Jeff M. also reported that a new member has joined and identified him as Rick H., the owner of a M38A1.  General questions were raised and answered concerning the existing insurance coverage for club activities.  It was suggested that members attending events on their own, contact the club President if insurance issues need to be addressed.

It was reported by Tim W. and Jeni L. that production on the Summer edition of the “Transfer Case” has been delayed due to work commitments and limited time to dedicate to the project.  Efforts are ongoing to get the Summer and Fall issues out as soon as possible.

Scott S. reported on the continued popularity of the club website as reflected by the increasing number of hits on the site since it was set up approximately three years ago.  It was noted that on average, the site gets 418 hits per month, but that in the last twelve months the site has pulled in an average of 500 hits per month.

Reports on recent events were limited.  A short report was presented on the Saturday night Car Show in Oak Hill near Home Depot which took place on August 16th and was attended by Scott S., Herb T., and Dave G.  This event was described as an excellent venue for seeing some great vehicles with minimal hassle.  A brief report was also made on behalf of Toby C. who attended the National MVPA meeting and indicated that it was another outstanding event.

Upcoming events were covered by Danny K. and supplemented by information from the involved membership.  Members were encouraged to become actively engaged in planning if they hope to make the Normandy event in 2004 and were reminded to hook up with one of the British clubs for administrative convenience and logistical support.  Members were directed to page 12 of the July issue of “Supply Line” for more information.

Planning for upcoming events included discussion and logistical information on the Club Convoy set for August 23rd in Wimberley.  Lewis S. provided details along with input from Danny K about efforts to obtain media coverage through local television stations.  Members were also provided basic information on the Hot Rod Swap Meet set for September 11-14 in Rosanky which is located about 12 miles from Bastrop.  In addition, information was provided on the Fort Worth Military Relics and Vehicle Swap Meet scheduled for September 13-14, the Manor Lions Fest Parade on September 20, the Driftwood Parade on September 27, the Camp Mabry Muster slated for October 4-5, and the Gonzales event scheduled for October 4.  A head count was taken for possible attendance at these events and it was noted that the club would be involved in the Manor, Driftwood, Camp Mabry, and Gonzales events.  Discussion followed regarding the November 11 Veterans’ Day Parade beginning on the Congress Street Bridge in Austin.  It was determined that the club would participate and details were provided.  A motion was made, seconded, and approved to pay the $25 fee for offsetting the costs of this parade.

Other upcoming events were highlighted including the Midland Air Show set for September 27-28, Wings Over Houston set for October 18-19, the Dinner/Dance in San Marcos scheduled for November 8 (with no air show until 2004), and Operation Cross Roads set for La Vernia on November 15.  Additional discussion followed regarding related details. Members were encouraged to stay after the meeting to see videotapes of interest including one of the La Vernia reenactment in 2002.  It was also noted that the club had been invited to the Western Days Celebration in Yorktown, but little information was available.  Interest expressed in this event was limited.  For more information on upcoming events, members were directed to the club web site.

National news was presented with emphasis on the upcoming national elections and the ballots that have been sent out.  Members were strongly encouraged to vote.  Another quick recap was provided on the recently held national convention which characterized the event as another great one.

Non-dues revenue was discussed briefly with no new information presented.  The availability of new club T-shirts was discussed and it was reported that an inquiry had been made about orders involving more than one color shirt, but that a reply had not been received.

Old business was discussed on a limited basis.  The discussion focused primarily on use of slow moving vehicle triangles and the legality of their use in Texas and other states.  It was pointed out that Texas has strict limitations on their use and that in most instances club vehicles are not likely to qualify.  Members were reminded that triangles, stickers, and other items are available on the national web site and through “Supply Line.”

New business was raised.  It was reported that the fledgling Alamo Chapter was waiting to be ratified at the next National convention, but no word has come back on the approval status.  It was announced that General Scribner has requested that personal vehicles be removed from the museum to make room for new acquisitions.  Discussion followed on assisting Ward B. in moving his 1941 Willys MB.  Additional discussion followed on General Scribner’s approval of creation of a Lone Star MVPA display case in the entryway of the museum.  Members were asked to assist in coming up with an economical means of creating the needed display cases to match those that will be on the opposite wall.

Other items of new business and announcements included an announcement that Jeff M. and Lewis S. had both received their expert driver awards.  It was also requested that members with any plaques, ribbons, or trophies bring them to the attention of club leadership for inclusion in the trophy case and referencing on the web site.

A motion was made, seconded, and unanimously approved to adjourn the meeting.

Adjourn – 8:13 p.m.
